About the position

The primary purpose of the WPCampus Communications Committee is to organize and streamline WPCampus communications, including newsletters, website copy, social media posts, and our Slack workspace.

The committee's goals and objectives include:

  • Copy-writing for the newsletter and/or website
  • Social media presence and management
  • Suggesting relevant changes to streamline communications pathways with our community and beyond
  • Maintaining a reasonable number of Slack channels and, if necessary, moderating communications within them.

Overall, the WPCampus Communications Committee is committed to ensuring that our community is well informed about the organization as a whole.

Responsibilities and Scope

In terms of responsibilities, the WPCampus Events Committee will:

  • Meet on a regular basis, typically once a month.
  • Provide monthly reports to the board on the status of initiatives and events.
  • Remain fiscally responsible with the committee’s allocated budget.
  • Submit proposals to request additional funding or resources as needed.
  • Make recommendations to the board regarding communication needs.
  • Work closely with other committees to ensure the organizations communications pathways align with the organization's overall goals.

In terms of scope, the WPCampus Events Committee committee will:

  • The committee's work will include all organizational matters related to communication.
  • Have the authority to make communication-related decisions on behalf of the organization.
  • The scope of the committee’s authority will be limited to making communication-related decisions on behalf of the organization.
  • The scope of the committee’s authority will not necessarily include broadcasting information for other committees and the WPCampus Board of Directors unless asked to do so.  For example, the Board’s Secretary may announce their own meeting schedule and post minutes, but in cases where the Board’s Secretary is unavailable for any reason, the Board may rely on the Communications committee for assistance.

The WPCampus Communications Committee will largely be responsible for oversight of all WPCampus communications. However, that does not mean that the base committee will be responsible for organizing all WPCampus communications. The committee can create subcommittees, for example, the “WPCampus Slack Committee.”

Duration of Committee

The communications committee will be a standing committee. The committee's timeline for achieving its goals will be ongoing, with regular reviews and updates as needed.

Budget

The communications committee will develop a budget to be approved by the board. Once approved, the committee will have the authority to spend its allocated budget as long as purchases align with the committee’s scope and purpose. The committee can request additional resources from the board.

Membership

Membership on the committee will be open to all individuals with relevant expertise, with new members recruited continuously.

Chair of the Events Committee

The committee can impose its own membership and governance structure but must have at least one chairperson.

The committee chairperson is an ex officio voting member of the WPCampus Board of Directors. As a board member, the Chair of the Communications Committee must attend board meetings and abide by all guidelines under the WPCampus Bylaws.

The committee will select its own chair.

Expectations of WPCampus Board Members

Expectations for board members include, but are not limited to:

  • Attend 90-minute board meeting once per month
  • Participate in discussions and decision-making
  • Communicate promptly with the board about attendance and task management.
  • Dedicate time to complete tasks. Time will vary depending on needs.

WPCampus Community Guidelines

Committee members are important delegates of the WPCampus organization. They are expected to uphold our community guidelines, including the WPCampus Code of Conduct and our principles of Diversity, Equity, and Inclusion and Accessibility.
